How Long Is an ISO Certificate Valid?

A certificate’s expiry date is important, but it is not the only fact needed to establish current validity. You also need to consider the issuing body’s current status record, the certified scope and the conditions of the relevant certification programme.

Do not assume that every management-system scheme has identical cycle rules. Ask the issuing certification body to explain the programme that applies to the particular certificate.

Read the dates in context

A document may show an initial certification date, a current issue date and an expiry date. These can describe different events. Reissuing a document after a change does not necessarily mean that every historical date has the same meaning as the date printed on the new copy.

If several dates appear, ask what each represents. This is especially useful when reviewing a certificate after a name change, scope change, transfer or recertification.

Why a future expiry date is not enough

A certificate may be suspended or withdrawn before the expiry date printed on the document. It may also have been replaced by another record. A saved PDF cannot show a later status change unless the holder or issuing body provides updated information.

For a procurement decision, compare the document with the current official record or request confirmation from the issuer. Record the date of the check so that another reviewer understands when the information was obtained.

Match the scope to the intended use

Even an active certificate may not cover the activity you need. Compare the organization name, service description, site list, standard and edition with the supplier relationship under review. A certificate for one office or subsidiary should not automatically be accepted as evidence for a different operation.

If a scope schedule is referenced, obtain it. The main certificate page may not contain all the information necessary to understand coverage.

What about a new standard edition?

The publication of a new edition and the treatment of existing certificates are separate questions. A transition programme may define how organizations move to the new requirements. Confirm the applicable arrangements instead of assuming that publication instantly cancels every older certificate or that the original expiry date overrides transition conditions.

What should a certificate holder monitor?

  • Scheduled assessment activities and programme obligations.
  • Changes to the organization or activities that may affect scope.
  • Findings or other matters that require a response.
  • The status and dates of replacement or renewed documents.
  • How certificate and mark claims appear on websites and documents.

Keep the public claim aligned with the actual record. If status changes, continuing to display an old document without the relevant context can mislead a reader.

Checking an EQRM certificate

Follow the certificate-enquiry instructions and provide the number, organization and relevant document details. If current status cannot be confirmed, treat it as unresolved rather than assuming either validity or misuse.

Create a certificate status check

Record the issuer, certificate number, covered entity, standard, scope and expiry date in your supplier or certification register. Add the date and result of the issuer’s current status check. Repeat the check when a significant procurement decision or status change makes it relevant. An expiry date helps schedule a review; it does not replace a current-status check.

Quick answers

Can an unexpired certificate be inactive?

The printed expiry date does not establish current status by itself. Confirm the record with the issuing body, including any suspension or withdrawal.

Does a certificate cover every company in a group?

Only rely on the entities, activities and locations actually included in the certified scope. A group name is not evidence of universal coverage.
