Clarify the decisions behind each managed property.
Buildings, maintenance, energy and asset responsibilities. Explore relevant standards and the scope information to prepare for EQRM.
ACTIVITIES TO DEFINE
01
Facilities management
02
Property operations
03
Asset portfolios
Illustrative activity groups. The agreed scope describes the actual organization and work assessed.
YOUR OPERATING CONTEXT
Start with your actual activities.
Property and facilities organizations may own buildings, manage them for clients or deliver selected services. Scope clarity is particularly important where responsibility for assets, tenants, maintenance and capital investment is divided.
Explain which organization makes operational decisions and which decisions remain with the owner or client. Identify the buildings, service categories and support functions included. Energy use, asset management and workplace activities may have related but different boundaries.
A DEFINED MANAGEMENT SYSTEM
Make the boundary clear.
Identify the organization, activities and locations to be assessed. Explain interfaces with customers, suppliers and shared functions.
STANDARDS TO CONSIDER
Match the standard to the management need.
Use these subjects as a starting point for your enquiry. Each standard has its own requirements and may have a different scope.
QUALITY MANAGEMENT
ISO 9001
Customer requirements, delivery controls and improvement.
ENVIRONMENTAL MANAGEMENT
ISO 14001
Environmental aspects and operational responsibilities.
WORKPLACE HEALTH & SAFETY
ISO 45001
Work-related risks, participation and operating controls.
Choose standards that align with your activities, objectives and operating sites.
SCOPE IN PRACTICE
Follow the responsibilities through the operation.
A facilities manager may arrange routine maintenance while the owner decides on major replacement projects. The application should describe how information and decisions pass between those parties. It should not imply that the manager controls every stage of the asset lifecycle if that is not the case.
Illustrative scenario, not an EQRM client case study or a prescribed control programme.
BEFORE YOU ENQUIRE
Bring the information that defines your scope.
01
Owned or managed properties and service boundaries.
02
Asset ownership and lifecycle decision responsibilities.
03
Subcontracted facilities services and tenant interfaces.
04
Energy data access and relevant operational controls.
Add approximate personnel numbers, a complete site list and any existing certificates. Mention planned changes such as new locations, services or operating shifts. These are enquiry prompts, not a complete audit-document checklist.
FREQUENTLY ASKED QUESTIONS
Real estate & facilities: common questions
Answers to common scope and application questions.
Which ISO standards can real estate and facilities management organizations consider?
Relevant options may include ISO 9001, ISO 14001, ISO 45001, ISO 50001, ISO 55001. They address different management subjects; select according to your activities and buyer requirements. The list does not make every standard mandatory or confirm availability for every proposed scope.
Is an asset management certificate a property valuation?
No. Management-system certification does not determine market value, building condition or investment performance. Those require their own evidence and professional assessments.
Who should describe asset decisions: the owner or facilities manager?
Each applicant should describe the decisions it controls and the interfaces with other parties. For example, routine maintenance and major asset replacement may sit with different organizations.
Can energy management be discussed for leased properties?
Explain what energy information is available, which equipment and settings you control, and the landlord or tenant interfaces. Those boundaries help establish the proposed scope and relevant responsibilities.
What affects certification cost and timing for real estate and facilities management?
The proposed scope, personnel, sites, operating patterns and relevant programme affect assessment planning. Readiness and the response to audit findings also affect timing. Provide this information to request a quotation; there is no universal price or guaranteed completion date.
